RFP Compliance Matrix

Pulls every shall, must and question out of an RFP into a numbered matrix with owner, location and evidence.

For: Bid managers, proposal writers and anyone answering a tender
You get: A numbered matrix your team writes to, and a checklist procurement can tick

Different: Harvests requirements by keyword sweep, not by reading, so every shall, must, will and question gets a number before anyone writes a word and nothing is missed.

New

When to use it

The user has decided to bid and needs the full list of what the RFP requires, in one table, before the writing starts. One document in, one matrix out, plus the gaps list. It is the spine that the response is written to and the checklist the buyer's procurement team will use against you.

Not for deciding whether to bid (use RFP Go or No-Go) and not for writing the response (the Proposal Writer pack does that).

What it asks you

One message, numbered.

  1. The RFP text. Paste all of it, including annexes, pricing schedules, terms and any question set. If it is in parts, say how many parts there are so I can confirm I have them all.
  2. The names of the people on your response team, or the roles if names are not fixed yet. Owners are assigned from this list only.
  3. Your response structure, if the RFP does not dictate one: section names or numbers.
  4. Which requirements you already know you cannot meet, if any.

If the RFP arrives in parts, build the matrix only when every part named is in. If the user gives no team, the Owner column reads "not given" on every row and the matrix is still built. Never invent an owner, a section number or a requirement that is not in the text.

What comes back

Plain text table, pipe separated, so it pastes into a spreadsheet.

MATRIX: RFP title, issuer, due date and time, total rows, rows by type (Mandatory N, Scored N, Deliverable N, Commercial N, Deadline N)

ID | Type | Section | Requirement | Limit | Where answered | Owner | Evidence | Status R001 | ... | ... | ... | ... | ... | ... | ... | ...

GAPS (longest evidence first) - ID, what is missing, who can get it, by when it is needed (working back from the due date)

CLARIFICATION QUESTIONS (send before the questions deadline stated in the RFP) 1. ID, the ambiguity, the question in one sentence

BUYER OBLIGATIONS (not in the matrix) - Section, what the buyer says it will do, date if given

Next: one line naming the single most useful next step.

What is in the download

  • 00_START_HERE.pdf: the two-minute set-up for each AI.
  • 1 - Skill: rfp-compliance-matrix.zip, one upload to Claude, ChatGPT, Gemini, Grok or Microsoft 365 Copilot. It switches on by itself when this job comes up.
  • 2 - Text file for any AI: the same Move as one .txt. Attach it to any chat, on any plan, and type "Follow this file".

It drafts, you read and send. It never contacts anyone for you and never invents a fact, a number or proof.

A Move is a single play. The whole function in a box is Proposal Writer, an agent pack with up to 8 skills.

Questions

What is a Move?

One task done with AI that most people in your job do not know is possible, packaged as one skill. One input, one result, one sitting. It is not a prompt tip and not a whole agent pack.

Why is it free for 48 hours?

Every new Move is free for its first 48 hours so you can try it and vote. After that it is $9 on its own, or part of the Lifetime Pass.

What does the Lifetime Pass include?

Every Move on the board today in one download, and every Move added later, which appear on your order page as they land. Paid once. The price rises as the board grows.

How does the ranking work?

Votes, with recent votes counting more, on top of the rank each Move launched with. Counts show from 10 votes. Nothing is seeded.

Does it send anything for me?

No. It writes and you read and send. It never invents a fact, a number or proof.
