AI agent pack for operations
Meeting Notes to Actions
Turns messy meeting notes and transcripts into decisions, actions with owners and dates, open questions and a follow-up email.
See it in action
An example. The situation is made up to show how the pack works.
The situation
You paste rough notes from Thursday's 25-minute call about moving your bakery's online orders to a new delivery partner. Half the lines are fragments with initials, question marks and no dates.
It asks you, for example
- Your name and role for the sign-off
- Your team, and the initials used in notes
- Who gets the follow-up email
- Full pack or actions only, table or list
MEETING: Delivery partner call, Thu 12 Nov 2026
DECISIONS
D1. Online orders move to the new delivery partner from Mon 30 Nov.
ACTIONS
| # | Action | Owner | Due |
|---|---|---|---|
| 1 | Send the partner our weekly order volumes | Kitchen manager | Fri 13 Nov |
| 2 | Ask the partner about chilled vans | KL | no date |
| 3 | Update the delivery page on the website | no owner | no date (said 'ASAP') |
| 4 | Look into the cost of insulated boxes | Marketing | week of Mon 16 Nov |
OPEN QUESTIONS
Q1. Do Saturday orders move over too? Owner: no owner
CHECK (for you, not to send)
- No owner: action 3, Q1.
- Dates worked out from Thu 12 Nov: 'fri' = Fri 13 Nov; 'next wk' = week of Mon 16 Nov.
- Not on your Team Card: KL. Kept as written.
It writes the follow-up email next, and at your next meeting it updates these actions in the tracker.
An AI assistant in 6 skills, one per job, for the AI you already use. It turns messy meeting notes into decisions and actions with owners and dates.
Paste your notes or a transcript and get a clean record of what was decided, who does what and by when, and what is still open. It also writes the follow-up email, a short summary for people who missed it, and next week's tracker update.
What you are buying
- 6 skills, one per job, each one checking its own work before you see it
- A fixed record: summary, decisions, actions with owner and due date, open questions, and a checklist for your eyes only.
- Fixed date rules: 'Friday' or 'end of month' becomes a real date from the meeting date, with the working shown.
- When a skill needs your details, it asks a few short questions about your name, your team, who gets the follow-up, the format and how you write dates, then gives you a Team Card. Paste it into a new chat and it asks only for what is new.
- An app, a login or a subscription. You pay once.
- A meeting bot. It does not join, record or transcribe calls; you paste the notes or the transcript.
- A guesser. It never picks an owner or a date the notes do not give.
- An email sender. It writes the follow-up for you to paste and send.
Your AI today, and with this
Meeting Summary Great meeting today! Key action items: - Tom to chase the labels by Friday - Tom to run the open day on the 28th - Team agreed a 5% wholesale price rise - Mark to sort out his sick days Next steps: reconvene next week to align.
Owners and dates nobody agreed, a leaning turned into a decision, and a remark about someone's health.
# | Action | Owner | Due 1 | Send Kestwick Deli Group a revised quote for 40kg a month | Priya Shah | Fri 17 Apr 2 | Cost repair against replacement for roaster 2, if Thursday's visit fails | James Bell (JB) | Thu 30 Apr 3 | Chase the packaging supplier for the labels | no owner | no date 4 | Pull the list of late cafe orders | Lena | no date 5 | Run the open day | no owner | Tue 28 Apr Q1. Leaning: 5% wholesale price rise. Not decided. Back next week. Owner: no owner.
Only what the meeting said: Tom never took the open day, so it has no owner, and the price rise stays open. An invented example from the pack.
The skills inside
6 skills, one per job. A skill is a short instruction file you add to your AI once. It switches on only when you ask for its job, asks a few questions, and checks its work before you see it.
The Different line says what each skill does that a plain AI chat does not.
| Meeting Action List | Turns meeting notes or a transcript into decisions, actions with owner and due date, and open questions.Different: Writes "no owner" or "no date" instead of guessing, dates "Friday" only from the meeting date, and lists every gap to check in at most six lines. |
| Meeting Follow-up Email | Writes the follow-up email after a meeting, team or client version or both, ready to paste.Different: Keeps the text around the lists to 20 to 100 words, lists tasks with no owner apart, adds no deadline the notes lack, and strips internal items for clients. |
| Meeting Decision Log | Lists what a meeting decided, what is still open with its owner, and what was parked.Different: Runs every candidate decision through a three-part test, so "leaning", "probably" and "in principle" stay open, and gives each question an owner or "no owner". |
| Missed Meeting Summary | Writes a 60 to 120 word note for anyone who missed a meeting: what it covered, what was decided, what is next.Different: Holds a fixed three-part order in 60 to 120 words with the count shown, and leaves out remarks about people and, for outside readers, internal items. |
| Action Tracker Update | Updates last meeting's action list from new notes, giving every action a status and adding new ones.Different: Gives each old action one status by fixed rules, never marks an action with no date late, and shows old and new owner or date on every action that moved. |
| Minutes Check | Checks minutes someone wrote against the original notes and returns the fixed version first.Different: Traces every owner, date and decision to the source notes, restores dropped conditions, moves leanings out of decisions, and lists each change it made. |
How you use it
- Upload each skill once from the 1 - Skills folder to Claude, ChatGPT, Gemini, Grok or Microsoft 365 Copilot. Each one switches on by itself when its job comes up.
- No skills on your plan, or another AI? Attach the all-in-one file to a chat, or add the skill files to a project or custom GPT.
- Ask for the work in plain words. The skill asks a few short questions first, then does the job.
See the set-up steps for each AI before you buy.
What arrives
A zip file, straight after you pay. Inside:
- A start-here PDF with the clicks for each AI.
- 6 skills, one per job, ready to upload to Claude, ChatGPT, Gemini, Grok or Microsoft 365 Copilot.
- The same skills as text files for ChatGPT, Gemini, Grok, Copilot or any other AI, and one all-in-one file.
Good to know
- It never guesses. If the notes do not name an owner or a date, it writes no owner or no date, and you decide.
- Relative dates like 'Friday' or 'end of month' only become real dates when the meeting date is in the notes, and it shows how it worked each one out.
- Before you paste client, HR or legal notes, check your company's rules on putting them into AI tools.
- Reporting progress to a client or your boss each week? The Project Status Reporter pack turns action lists into a status report.
- 14 days to get your money back if it does not do what this page says.
What is in the download
15 files in one zip, ready straight after you pay.
| 00_START_HERE.pdf | The two ways to set it up, the clicks for each AI, and what each skill does. |
|---|---|
| 1 - Skills | 6 skill files (.zip), one per job. Upload each once in Claude, ChatGPT, Gemini, Grok or Microsoft 365 Copilot.Meeting Action List, Meeting Follow-up Email, Meeting Decision Log, Missed Meeting Summary, Action Tracker Update, Minutes Check |
| 2 - Text files for any AI | The same 6 skills as text files, the instructions to paste in a project or custom GPT, and all skills in one file of about 19,400 words to attach to any chat. |
Questions
Which AI does it work with?
Claude, ChatGPT, Gemini, Grok and Microsoft 365 Copilot all take the skills as uploads. Where your plan has no skills, or on any other AI, use the same skills as text files, in a chat or a project.
How do I set it up?
Upload each skill once in Claude, ChatGPT, Gemini, Grok or Microsoft 365 Copilot. It then switches on by itself when its job comes up. Otherwise, attach the all-in-one file to a chat, or add the skill files to a project or custom GPT. The start-here PDF has the clicks.
Why separate skills instead of one big agent?
Each skill does one job and holds only the rules, numbers and checks for that job, so it stays focused and the AI does not mix jobs up. You can upload just the ones you need.
Can my team use it?
Yes, inside one company. Each person sets it up in their own AI. You cannot resell or publish the files.
Does it send anything for me?
No. It drafts, you read and send. It never contacts anyone.
Is it a subscription?
No. You pay once and the files are yours to keep and change.
What if it does not work for me?
You have 14 days to get your money back if it does not do what this page says. Tell us what you asked it and what it returned.
